Festival Volunteer: Description of Assignments
Specified Lead Volunteer Positions:
6 Roles: At Least 12 Volunteers Needed
Volunteer Check-In Desk
Description: This is the hub station for all volunteers. We need this team to check in & check out volunteers. This area will also serve as the Event Lounge for PIHF Steering Committee (PIHFSC) and volunteers. This is simply for that day’s Festival team to sit and take a break. All team belongings are that of the individual team member and not the responsibility of the volunteer of the check-in desk.
Volunteer Roles May Include:
- Obtain signatures on event waivers and photo release
- Distribute volunteer badges
- Discuss assignments and direct volunteers to work areas
- Set up and restock Volunteer Check-In Desk area and/or Event Lounge with beverages and supplies.
Preferred skills:
- Prompt, organizational skills, welcoming
- Strong communication skills
- Ability to work in a fast-paced and demanding environment
- Respond quickly to requests from Event Managers (i.e. Core Committee Lead Members)
- Ability to read and understand event diagrams; communicate directions and assignments to volunteers
- Ability to lift 20-25 lbs.

Opening Ceremony
Description: The Opening Ceremony celebrates the kick-off of the Phoenix International Heritage Festival (PIHF) through a unity march around the park of all guests. Then followed by a unity choir or soloist and pledge to our unity flag.
Volunteer Roles May Include:
- Line Managers
- Merchandise Sales Assistants
- Ushers
- Talent Coordinators
Preferred skills:
- Prompt, organizational skills, welcoming
- Strong communication skills
- Ability to work in a fast-paced and demanding environment
- Respond quickly to requests from Event Managers (Core Committee Lead Members) and Event Assistants (Steering Committee non-Lead Members)
- Ability to read and understand event diagrams; communicate directions and assignments to volunteers
Note: The Opening Ceremony volunteer roles are available to Lead Volunteers only.
Chief Zone Officers
Description: The Zone Officers work directly with the Lead Coordinator from the committee for that area.
Volunteer Roles May Include:
- Provide direction to stage performers, musicians, street performers, vendors, exhibitors, and sponsors during load-in (Thursday and Friday) and load out (Sunday)
- Conduct an on-site walk through with the Lead Coordinator prior to the Festival
- Preferred skills:
- Prompt, organizational skills, welcoming
- Strong communication skills
- Ability to read and understand event diagrams
- Communicate directions and assignments to vendors

Welcome Center
PIHF Life: Pop-Up Shop
Description: Help us welcome locals and tourists alike from our Pop-Up shop located in the Visitors Hall. The purpose of this shop is to benefit the Phoenix International Heritage Festival!
We wish to create a welcoming environment for our guests. This area will also serve as the hub for our backdrop competition for local creatives. Photographers, artists, and event planners will get to show off their backdrop making skills. We will ask you to encourage guests to cruise the area taking selfies and posting them on social media.
Volunteer Roles May Include:
- Merchandise Load-In
- Merchandise Sales Assistants (Saturday – Sunday)
- Selfie Station Vote Assistants (We will have a backdrop contest in the visitor hall. Visitors for selfies can cast a vote left in a ballot box attended by you).
- Merchandise Load-Out
- Preferred skills:
- Prompt and welcoming; Able to get along well with others and outgoing
- Enjoys working with all people
- Ability to understand and follow instructions and maintain professional language at all times
- Ability to work for long periods of time (~4 hours)
Note: This role is available to Lead Volunteers only. As an added perk –volunteers who volunteer for multiple shifts, will get to pick out an item (up to a $20.00 value)!
Information Kiosk
Description: Help us welcome local guests and tourists.
Volunteer Roles May Include:
- Distribute Program
- Sell Left-over Large Posters
- Sell Water Bottles
- General Clean-Up
Preferred skills:
- Prompt and welcoming; Able to get along well with others and outgoing
- Enjoys working with all people
- Ability to understand and follow instructions and maintain professional language at all times.
- Ability to work for long periods of time (~4 hours)

Family Zone Leader
Description: Assist with a multitude of games, arts and crafts activities
Volunteer Roles May Include:
- Community Art Project for Kids
- Youth Poetry Contest
- Youth Art Show and Contest
- Phoenix International Festival Games and Rides
- General Clean-Up
Preferred skills:
- Prompt and welcoming; Able to get along well with others and outgoing
- Enjoys working with kids;
- Ability to understand and follow instructions and maintain professional language at all times.
- Ability to walk/stand for long periods of time (~4 hours)

Common Volunteer Positions:
8 Roles: At Least 32 Volunteers Needed
Description: Volunteers for this position are needed for important roles that involve less interaction with our guests. These positions are for maintenance, general set-up and take down of the Festival, and clean-up.
Even though less guest interaction is required we still ask that you maintain a welcoming helpful demeanor and be willing to direct guests to the Information Booth for any answers you do not know.
Set Up and Tear Down
TentsÂ
Volunteer Roles May Include:
- Set up (Wednesday) 10’x10’ or 10’x20’ pop-up style tents and arrange them in the exhibitor’s area
- Duties also include securing sandbags to tents
- Tear down (Sunday) and move tents to designated area
Tables/ChairsÂ
Volunteer Roles May Include:
- Set up and place tables/chairs in the vendor, non-profit and exhibitor tents, spirit garden, and dining areas (Thursday and Friday)
- Tear down & restack for storage and/or pick up (Sunday)
Booth and Event SignageÂ
Volunteer Roles May Include:
- Set up and place tent and event signage, booth numbers and directional signs in pre-determined areas
- Remove signage at the close of the Festival for disposal or storage
- Duties may also include placement and set up & tear down of cardboard trash bins.
Skills for All Above Positions
Preferred skills:
- Ability to follow pre-determined directions, read set up event layout diagrams
- Ability to set up signs and place signage in a neat and aesthetic fashion
- Ability to stand and balance on a 6’ ladder if needed, manual agility
- Ability to pack away tents for storage at the end of the event (Sunday)
- Ability to lift 20-25 pounds
Inside & Outside Greeters and Directional Support
GreetersÂ
Volunteer Roles May Include:
- Welcome and direct guests to various Festival activities; distribute flyers, programs. Be alert to any behavior that may cause a disruption to the enjoyment of the event and notify appropriate Event Managers (Core Committee Lead Members) of any potential issues
Directional SupportÂ
Volunteer Roles May Include:
- Manage access to food vendor gates, stage gate and other areas that have been roped off for access
- Look for and report any unsafe or security matters to the Festival management
- Directional Support volunteers will wear orange vests

- Prompt and welcoming
- Alert, experience with crowd control, enjoys working with people
- Ability to understand and follow instructions and maintain professional language at all times
Vendor Support (Relief)
Volunteer Roles May Include:
- Providing short breaks (5-10 minutes) for vendors and organizations that need to leave their booths from time to time
- Deliver bottled water to vendors
- Preferred skills:
- Prompt, assertive and welcoming
- Ability to understand and follow vendor instructions for watching booth in their absence
General Area Clean Up
Trash Bin Clean UpÂ
Volunteer Roles May Include:
- Roam event venue, identifying opportunities to clean up trash or other items detracting from the aesthetics of the event
- Roam event venue, collecting trash from bins that are at capacity, replacing bins with new trash bags, and taking trash to designated collection area; tearing down trash bins at the end of the Festival
Food & Beverage Clean UpÂ
Volunteer Roles May Include:
- Roam event venue, identifying opportunities to clean up trash or other items detracting from the aesthetics of the event
- Roam food & beverage areas clearing tables and collecting trash from the area.
Skills for All Above Positions
Preferred skills:
- Manual agility
- Ability to walk/stand for long periods of time (~4 hours)
- Ability to lift full trash bags out of trash bins and place new bags in the bins
- Communication skills to alert Event Managers (Core Committee Lead Members) of the need for additional trash supplies or situations requiring special treatment
Volunteering Beyond the Festival

Each year the Phoenix International Heritage Festival selects a group of young adults to be part of one of its most highly regarded and signature programs: The Global Ambassador Program. Global Ambassadors engage with the local community and are a vital resource for Festival guests and the Festival.
The final group is comprised of talented, energetic individuals who have a true passion for international relations, community involvement, and the Festival.
THE Global AMBASSADOR EXPERIENCE
The experience of a Global Ambassador is a rewarding and once-in-a-lifetime opportunity. The Festival’s official Global Ambassadors are actively engaged with the Festival through:
- Global Ambassadors must produce one video showcasing cultures around Arizona or documenting their time as an Ambassador.
- Global Ambassadors will coordinate one school project idea to be taken to local schools.
- Option 1: The Ambassadors as a whole may come up with a unique approved idea or
- Option 2: use one designated by the Festival. The designated Festival activity is a poetry contest. Each ambassador will be given a different genre to take to their school. If an Ambassador shares a school with another Ambassador one must find another school or program (i.e. a church or youth group) to participate. Each winning genre will be given the opportunity to perform their poem at the Festival.
- Planning and leading hands-on activities for children at the Festival’s signature events.
- Representing the Festival at community events and attending the Festival.
- Acting as cultural and educational liaisons at Phoenix, AZ-area schools and with exchange student programs to teach children about the history of our diverse cultures found in America.

Community Project: Live Life in Color
(2 Community Ambassador Positions Available)!
Retail Windows
Description: This year the Phoenix International Heritage Festival collaborated with local retailers for our Annual Retail Window Competition. Inspired by the holiday window displays around the globe, this competition has become a local favorite. We give the stores the theme of Live Life in Color to see how local retailers transform their shop windows to spread the message of unity! The Retail Window Competition celebrates what makes local retail great by highlighting the creativity of the stores and encouraging Phoenicians and tourists to check out these over the top displays.
Community Windows
Description II: This year the Phoenix International Heritage Festival collaborated with the community for our Annual Home Window Competition. We need your help in getting the community to participate by decorating a window to celebrate the diverse colors that represent all of humankind that makes up the world. If a community member does not have a window, we ask that they use a door and frame it.
Retail Volunteer Roles May Include:
- We ask for a volunteer to find as many local retailers as possible to participate.
- Secure a photo is taken of every window and received.
- Issue all Participating stores a thank you email for participation.
- Flyer Distribution
- Optional: Available to Issue Winning Retail Award during the Festival.
Community Volunteer Roles May Include:
- We ask for a volunteer find as many local residents as possible to participate.
- We encourage residence being found by contacting schools, universities, notification flyers posted at parks and recreation sites, and senior facilities.
- Secure a photo is taken of every window and received.
- Issue all Participating families a thank you email for participation.
- Optional: Available to Issue Winning Home Award during the Festival.
